Application Assignment

Temenos Infinity provides institutions the ability to have applications automatically assigned to users. This topic provides an overview of the configurations that are required to implement Automatic Application Assignment, as well as the Application Assignment process.

Configurations

In order to utilize this functionality, the following configurations must be made:

Create Assignment Groups
Configure User Attributes
Author Assignment Rules
Create an Event Action Pair

Create Assignment Groups

Assignment Groups allow administrators to group users together that operate in the same capacity at the institution. Using this functionality allows institutions to automatically assign applications to individuals within an Assignment Group.

To create an Assignment Group:

Navigate to System Management > Groups > Assignment Groups.
Click . The New Assignment Group screen appears.
In the General tab, identify the Assignment Group's name. Provide a Description and Notification Group, if applicable.
In the Users tab, assign the active Temenos users that are to be a part of the Assignment Group.
When finished, click to retain the Assignment Group, and return to the Assignment Groups page.

Configure User Attributes

In System Management > Users, system administrators must define specific user attributes for the Application Assignment process, such as a user's scheduled time off and the maximum number of applications the user is able to be assigned.

Assign Assignment Group Attributes

Within the Assignment Groups tab, system administrators can assign the user to specific Assignment Groups, and determine the maximum number of applications able to be assigned to the user.

The value of the Max Number of Applications Assigned parameter identifies how many applications can be assigned to the user at a given time, and is used during the Application Assignment process to determine which user in an Assignment Group is assigned the application.

Identify User Schedules

In order for the Application Assignment process to properly execute, each member of an Assignment Group must have his/her scheduled time off defined within the Scheduling tab.

The Application Assignment process assigns applications to users based on availability. If a user's schedule is not defined, the system does not consider the user as available when the Application Assignment process runs.

To schedule time off for a user in the Scheduling tab:

Indicate the user's schedule by clicking Add. The Calendar pop-up window opens.

Within the Calendar window, use the Date/Time controls to set the user's schedule. Click the

to open the calendar control. Select the Start/End Date.

Administrators are able to select a date range to set the schedule for multiple days at once.

In the field beneath the date, click the to select the Start/End Time.
Click Save to retain the Time/Date.
Once a schedule is set, the Start/End Time displays in the calendar within Scheduling tab.

Author Assignment Rules

Assignment rules provide institutions the ability to determine the Assignment Group to which an application is assigned. These rules execute during the Application Assignment process.

To begin authoring rules:

Navigate to System Management > Origination > Rules Management and click to open Rules Manager.
Select the Assignment rule category, and create a Business Rule at the Application Entity level.
Use the Assign to Assignment Group action template to determine the Assignment Group applications are routed to, if the rule conditions are met.
After a Assignment rule is created and saved to the rule application, the rule automatically runs when the Application Assignment process executes.

The example below provides a demonstration of a rule that assigns applications to Assignment Groups based on the application's Requested Amount:

Event Processing Configurations

Through Event Processing, institutions can determine the event that triggers the Application Assignment process.

To create an Event/Action pair for Application Assignment:

Navigate to System Management > Origination > Event Processing.
Click . The New Event Processing screen appears.
In the General tab, identify the name of the Event/Action pair, and select the Active check box.
In the Events tab, identify the event to trigger the Application Assignment process.
In the Actions tab, select the Assignment action. This action executes the code for the Application Assignment process.
Click to retain the Event Processing pair.

Application Assignment Process

When the Application Assignment process executes:

The Assignment rules run to determine the Assignment Group to which an application belongs.
Once the Assignment Group is determined, applications are assigned to available users the within the Assignment Group.

This process assigns a user based on user availability by calculating the difference between the value set for each user’s Max Number of Applications Assigned, and the number of applications currently assigned to the user. The application is assigned to the user in the Assignment Group with the lowest percentage of assigned applications.

Users that are scheduled out of office are not considered for application assignment.

If two users have the same percentage, the system selects the user with the highest value for the Max Number of Applications Assigned parameter.

If the assigned user has reached or exceeded their Max Number of Applications Assigned, a notification is sent to the Notification Group associated with the Assignment Group.

If no users are available, the application is unassigned, and a notification is sent to the Notification Group associated with the Assignment Group.

The AssignedUserID field is set to the user determined by the process.
The AssignedGroupID field is set to the user determined by the process.
