Security Profiles

Each Collection Element User is assigned a security profile that controls their access to specific program functions. Rather than configuring each user's access rights individually, the Collection Element uses security profiles for different user types.

Each Security Profile controls access to clients, administrative functions and reports. There are four standard Security Profiles: Administrator, Auditor, Collector and Read-Only.

Security Profile Description

Administrator

  • Administrator access to all functions. 
  • Can work all client and loan records, regardless of the worklist they are linked to. 
  • Can add and delete most information.
Auditor
  • Read-only access to all functions. 
  • Can view all client and loan records, regardless of the worklist they are linked to. 
Collector
  • Can only work clients and loan linked to their worklist(s). 
  • Can generate all reports but only loans on their own worklist(s). 
  • Search results are restricted to their own worklist(s).
  • Cannot access any System Security functions.
Read-Only
  • Read-only access to client and loan records. 
  • No access to report or administrative functions. 
  • Restricted access to search.

The profiles can be used as they are or new profiles can be created based on the standard profiles. Completely new profiles can be created, as well. Security Profiles that are not used can be deleted.

From System Management, select Collection > Security Profiles from the Security and Maintenance group on the Configure tab. A list of configured security profiles is displayed.

Create a New Security Profile

Click New. The Profile Maintenance page is displayed. The default profile grants full access to all functions.

Enter a unique Profile Code (maximum 10 alphanumeric characters) and a description of the profile to provide more information about it. Ensure that the Active checkbox is selected to enable the profile in Elements.

Select the Read Only checkbox if users in the profile should not be able to perform any functions in Elements - they are only able to read information. When selected, all security functions on the Profile Maintenance page are disabled.

Change the access rights as appropriate for the new profile. The profile maintenance page is broken into the following sections - Collections, Transaction, Report, System and Loan Grid Settings.

This section describes all of the Client, Contact and Loan maintenance functions as well as those functions that relate to the Client, Contact or Loan.

If the institution is using charge-off functionality in Elements, this section defines which types of transactions can be posted.

Report Security

This section defines the reports users have access to.

Click to highlight a report in the No column and use the arrow buttons to move the report into the Own or Yes column to specify the access to the report. Each column is defined as follows.

Column Description
No

These reports are not available on the list of reports on the Collection > Reports tab.

If the Client Detail and Loan Detail reports are set to No, the print button is disabled in the workspace.
Own

These reports are visible on the list of reports but the report's contents are limited to loans that are linked to the user's worklist(s). For activity reports, the report's contents are limited to activities performed by the user.

Some reports, such as the Bankruptcy Report, do not have worklist or user filters. For these reports, a report that is flagged as Own is treated as Yes, meaning that the user has complete access to all loan information for the report.
Yes Users have complete access to these reports.

System Security

This section defines the System Management functions users have access to.

Each function can be set to Yes, Read Only or No described as follows.

Function Type Description
Yes Users have access to this function and can make changes to it.
Read Only Users have access to this function but can not make any changes.
No User do not have access to this function. The function is disabled in System Management.

Loan Grid Settings

This section defines the columns that appear in the loan grid on the workspace for users in the security profile. Use the arrow buttons to move the columns from the Available box to the Visible box. The order the fields appear in the Visible box is the order in which they appear in the loan grid. Select a field and use the Move Top, Move Up, Move Down, Move Bottom buttons to change the position of the field.

If desired, select a field from the top Sort by drop-down to display loans in the loan grid in order based on that field. Then, select either Ascending or Descending from the bottom Sort by drop-down.

If desired, select the Apply to All users checkbox to have these settings apply to all users in the security group. Selecting this overrides an individual user's loan grid settings defined in User Preferences.

Click the Restore button to disregard any changes.

When finished assigning access rights to the security profile, click Save at the bottom of the page. Click Cancel to cancel the new profile.
