Automated Decision Workflow Step
In order to assign and author rules for the Automated Decision Workflow Step, the ability to author Business Rules must be enabled for your institution. For more information about how to enable this functionality, please contact your Temenos Customer Care Representative.

The Automated Decision Workflow Step provides administrators with the ability to assign business rules to automatically determine a Yes, No, or Undetermined decision based on certain conditions being met. The user will automatically be placed in the next step down the Yes or No workflow path. If an Undetermined decision is reached, business rules can be used to display a message to users with instructions on how to proceed with the workflow’s completion.

By configuring a workflow to include an automated workflow step, administrators can eliminate the need for users to manually complete the decision step, increasing the time spent on efforts and improving efficiency and productivity in the Lifecycle Management Suite.

Workflow Step Configuration

To configure a workflow to include the Automated Decision workflow step, include it in the Design attribute while creating or editing a workflow.

The Automated Decision workflow step cannot be configured for Batch or Automated workflows.

On the Design tab, in the Workflow Configuration window right-click on a step within the workflow design and select New Step Before or New Step After.

The Select a Workflow Step screen displays. Highlight the Decision workflow step and click Select Step.

The Step Properties window opens to configure the workflow step:

The General, Queuing, and Instructions attributes for the Automated Decision workflow step are completed in the same manner as other workflow steps. For information regarding the completion of these attributes, please see the Workflow Steps section of this guide.

To assign rules to execute for this workflow step, navigate to the Decision Tab. By default, Manual Decision is selected upon opening this tab. In order to assign a Workflow rule to execute for this workflow step, Automated Decision must be selected.

If the ability to author Business Rules is not enabled and/or Workflow rules have not been defined, Automated Decision is disabled and cannot be selected.

Upon selecting Automated Decision, the drop-down is populated with the Workflow rules defined in Rules Manager. Select the rule to execute for the workflow step.

Rule Configuration

To create a new rule for this workflow step or update an existing Workflow rule, click Manage Rules.

Rules Manager opens with the Workflow category pre-selected.

Click Create and select Business Rule to create a new Workflow rule or select a rule within the rules grid and click Edit to configure an existing Workflow rule for this workflow step.

Rule logic for the Automated Decision Workflow Step is defined within the Definition tab of the Edit Rule window.

Use the following table to assist with configuring business rules to execute within the Automated Decision Workflow Step:

When writing a rule to be used in an Automated Decision workflow step, the only action that can be defined is setting the decision value using the action templates shown in the above table. Other actions, such as setting the value of a field, cannot be included in that same rule. To define an action to occur as a result of the workflow decision, write a separate rule to include that action in an execute business rules workflow step within the workflow.
In order to produce the desired results, select the appropriate entity when authoring a rule. When this workflow step is to be run in a multi-account workflow, Root.Person is the recommended rule entity for the workflow rule, providing the ability to configure the rule logic to include account level fields and execute the rule one time to determine a decision. Selecting an entity such as Person.Accounts executes the rule one time for each account and could return multiple decisions. For more information regarding entities, click here.

For any workflow decision, make sure that the account being evaluated is included in the workflow by defining the condition IsInCurrentWorkflow is true to appear in the workflow rule. 

Once all tabs for the rule are complete, click Save within the Edit Rule window to save the rule. Select Save and Close to save the rule and return to the Rules Management Application screen. Click Cancel to return to the Rules Management Application screen without saving. 

Save must also be selected on the Rules Management Application screen once all changes to rule logic are complete. Clicking Save within the individual rule does not save rule logic to the Rule Application without this final save.

Click the   to exit Rules Manager and return to the Workflow Step Properties window. After the new or edited rule logic has been saved, select Refresh Rules to display the rule within the Automated Decision drop-down and add it to the workflow step.

Once the rule to be executed is identified within the drop-down, click Save within the Step Properties window to save the workflow step and return the workflow configuration window.

Continue configuring workflow steps for the decision path of the workflow and complete the remaining workflow attributes before saving the workflow and returning to the Workflow Management screen.

The Rules assigned to this workflow now executes when the Automated Decision workflow step is run in the workflow.
