Worklist Assignment

Worklist Assignment is where an administrator controls how individual loans are assigned to worklists. The actual assignment of a loan to a worklist occurs during the Download.

From System Management, select Collection > Worklist Assignment from the Worklist/Queues Group on the Configure tab. A list of worklist criteria is displayed.

The Worklist Assignment page allows users to create, edit, delete and rearrange worklist assignment criteria.

There can be an unlimited number of worklist assignment criteria. All loans for a specific client can be assigned to the same worklist providing one of the client's loans meets the specified conditions. Alternatively, a client's loans can be separated into separate worklists. Any combination of these rules can be used when creating worklist assignment criteria.

The order of the worklist assignment criteria is critical since the Download processes the formulas in the order in which they are displayed in the list.

For example, a financial institution has specified the following conditions:

Condition Assign to Worklist
Loan is not delinquent NONDQ
Client is Bankrupt Assign all of the client's loans to BKR
Loan Balance is greater than $10,000 and Days Delinquent is less than 30 Assign all of the client's loans to LARGE$
"EMP" flag is True Assign only the clients with the EMP flag to STAFF
Loan Type is "VISA" or "MC" Assign only the credit cards to CC
Client Last Name is greater than M Assign all of the client's loans to N - Z
Client Last Name is less than N Assign all of the client's loans to A - M

With the scenario listed above, a client (John Smith) with three delinquent loans (a VISA with a balance of $10,345 that is 28 days delinquent, a mortgage that is $950 overdue and a car loan that is $700 overdue) would have all their loans assigned to the worklist LARGE$.

However, if the LARGE$ formula was at the bottom of the list, the VISA would be assigned to worklist CC and the other two loans would be assigned to worklist N to Z.

All loans are reassigned by the Download. It is suggested to create a worklist to hold non-delinquent loans. Manually assigned loans are never re-assigned by the Download.

Creating Worklist Assignment Criteria

Click the New button on the Worklist Assignment screen. The new worklist assignment screen displays.

Build the criteria for the worklist using the fields defined below:

Field Description
Category Select the category to be Client, Contact or Loan. These categories dictate what field selections are available. The Client category allows client-level fields, such as name and address, to be available. The Contact category allows contact-level fields, such as contact name and address, to be available. The Loan category allows loan-level fields, such as delinquency status and current balance, to be available.
Field Select the desired field from the drop-down. The available values are displayed based on the chosen Category. For example, if Client is the Category, Loan fields such as Loan Type or Days Delinquent are not available in the Field drop-down. Only Client-related fields, such as Client Last or First Name, would be available. 
NOT Select this checkbox to use "NOT" in conjunction with the selected operator.
Operator

Select the desired Operator (Less Than, More Than, Equal To, etc.). The available values are displayed based on the type of Field chosen. For example, Equal To is the only Operator value available for flag fields. 

To include a range of accounts in the worklist, use More Than/Less Than. To include a specific account or type of accounts, use Equal To.
Value Select the Value for the field. The type of value (date, flag, character) that can be entered is based on the Field and Operator chosen. For example, a value of True or False are the only allowed values for flag fields. 
Logical

Select the Logical value.

  • Select AND if the current condition and the next one about to be created must both be true.
  • Select OR if either the current condition or the next one must be true.
  • Select GROUP to make the criteria more complex to further narrow down the accounts that can fall into this worklist.
Worklist Select the name of the worklist these accounts should fall into if they meet the criteria. 
Set all loans for client

Click the "Set all loans for client" checkbox to assign all of a client's loans to the worklist provided the client or at least one of the client's loans meets the worklist conditions.

Frequency

Specify how often (Always, Weekly, Monthly or Never) this worklist assignment should be performed. Always is selected by default. If the frequency is Weekly or Monthly, specify the Next Run Date.

Next Run Date If the Frequency is Weekly or Monthly, select the next run date from the calendar drop-down.

Repeat for as many lines of criteria as desired.    

To delete a condition, click the checkbox next to the condition and click Delete.

When finished building criteria, click Save. Click Cancel to cancel building the worklist criteria.

New worklist assignment criteria is added to the bottom of the list on the Worklist Assignment page. The criteria list may need to be rearranged so the worklist assignments work exactly as desired.

Rearranging Worklist Assignment Criteria

On the Worklist Assignment screen, click the checkbox next to the Worklist Assignment formula to move.

Use the buttons defined below to move the worklist to the desired position.        

Button Description
Top Click Top to move the selected Worklist Assignment formula to the top of the list.
Up Click Up to move the selected Worklist Assignment formula up one position in the list.
Down Click Down to move the selected Worklist Assignment formula down one position in the list.
Bottom Click Bottom to move the selected Worklist assignment formula to the bottom of the list.
To Row Enter a row number in the text box and click Move to reposition the selected Worklist Assignment formula to the specified position.

Copying Worklist Assignment Criteria

Click the checkbox next to the Worklist Assignment criteria to copy. Click Copy.   

Make the changes necessary to create a new formula.        

When finished, click Save. Click Cancel to disregard any changes.

Editing Worklist Assignment Criteria

Click the link of the worklist to edit.        

Make any changes and click Save. Click Cancel to disregard any changes.

Deleting Worklist Assignment Criteria

Click the checkbox next to the Worklist Assignment formula to delete. Click Delete.     

A prompt appears to confirm the deletion. Click OK to confirm. Click Cancel to disregard the deletion.

Once OK is selected, the Worklist Assignment is deleted and removed from the Worklist Assignment screen.

This permanently removes the criteria associated to the worklist. To re-use criteria at a later date, edit the worklist instead, and change the frequency of the worklist assignment to Never. To re-enable the worklist assignment for this worklist, change the frequency from Never to Always, Weekly, or Monthly, as required.

Complex Worklist Assignment Criteria

The following is an example of more complex worklist assignment criteria.

GROUP has been selected from the Logical drop-down to split the criteria into two groups: one based on loan type and the other on status. Since the Logical value for this condition is set to AND, both groups of conditions must be met in order for a loan to fall into the worklist. In this case, any loan with a loan type of L-AC through L-AT except for loan type L-AH will be moved into the Vehicle worklist PROVIDED the loan is either delinquent OR Locked.
